Privacy Policy
Clipnest (theclipnest.com) is a workspace for saving videos from YouTube, Vimeo and other websites as Clips, organizing them into Boards, adding timestamped Notes, and sharing them. It is operated by Digital Astronaut Studios, based in Toronto, Ontario, Canada (“we”, “us”), which is responsible for the personal information handled through Clipnest. This policy explains what we collect, why, who can see it, and the choices you have.
The short version
- We keep what Clipnest needs to work: your account, and the Boards, Clips and Notes you create.
- Everything is private until you share it with collaborators or turn on a public link.
- We don't sell your information, show ads, or use analytics or advertising trackers.
- From Google sign-in we use only your name and email address. Videos play in YouTube's or Vimeo's embedded player, which those platforms run, or straight from the website a video file is on.
What we collect
Your account
- Email address, to sign you in, to match Board invitations to you, and for account emails.
- Password, if you sign up with email. Our authentication provider, Supabase, stores it as a one-way hash; we never see it.
- Display name, from your Google account if you continue with Google, or otherwise the first part of your email address. You can change it at any time.
- Information from Google, if you continue with Google. See Information from Google below.
What you create
- Boards (name and color) and tags.
- Clips: which platform the video is on (YouTube or Vimeo) and its ID there (for an unlisted Vimeo video, also the private code in its link), or for a direct video link the link itself; its title, channel name (or the video file's website), thumbnail, shape and length, and where you stopped watching, so you can pick up where you left off.
- Notes (text, timestamp, position on the video, color, and whether the Note is private) and replies. An @mention is saved with the mentioned person's account, so it keeps pointing at them if they change their name.
- Collaboration: who is on each Board and their role, and invitations (the invited email address, role, who sent it, when it was last emailed, and whether it was accepted).
- Notifications: records of activity that concerns you, such as “Ahmed mentioned you in a Note”, and whether you've read them. They contain the other person's name, the Board and Clip titles and the Note's time in the video, never the text of Notes or replies.
On your device
- Sign-in cookies that keep you logged in. Clipnest needs them to work.
- Local storage for small preferences: light or dark theme, your last Note color, and how each Board is sorted. These stay in your browser.
- Clipnest sets no analytics, advertising or tracking cookies. Google's sign-in button on the login and sign-up pages, and YouTube's player, are loaded from Google and may use Google's own cookies; see Information from Google and YouTube. Vimeo's player is loaded from Vimeo; see Vimeo. A direct video link is loaded from its own website; see Direct video links.
Technical and security records
- Our hosting provider (Vercel) and our database and authentication provider (Supabase) receive technical information with each request, such as your IP address, browser type and the pages or data requested, and keep it in service logs to run and secure Clipnest.
- Supabase also keeps a record of account events, such as sign-ups, sign-ins and sign-outs, with the account's email address, name and ID, and may include the IP address used.
How we use it
- To provide Clipnest: sign you in, save and show your Boards, Clips and Notes, and keep them in sync across your devices.
- To make collaboration work: show your name to the people you share Boards with, deliver invitations and mentions, and notify you of activity.
- To send account emails, such as the link that confirms your email address, and to email Board invitations when an owner invites someone. Clipnest doesn't send marketing emails.
- To keep Clipnest secure and working, to investigate misuse, and to meet legal obligations.
- To answer you when you contact us.
We don't sell your information, use it for advertising, or build profiles of you. We look at the information in your account only when you ask us to (for example for support), when it's needed to keep Clipnest secure, or when the law requires it.
Who can see your information
- Only you, by default. Your Boards, Clips and Notes are private until you share them, and a Note marked private is visible only to you, even on a shared Board.
- Collaborators: everyone on a Board (its owner, editors and viewers) can see its Clips, its shared Notes and replies, and the name and email address of everyone else on it. When you @mention someone, they're notified (unless the Note is private), and everyone who can see the Note or reply can see the mention.
- Invited people: an invitation works only for the email address it was sent to. Before accepting, the invited person sees the Board's name and the name of whoever invited them. When a Board's owner invites someone, Clipnest emails the invitation to that address: the email contains the owner's name, the Board's name, the role, and the invitation link. The owner can also copy the link and send it themselves.
- Anyone with a public link: if you turn on a public link for a Board or a Clip, anyone who has the link can see, without an account, the Board's name, its Clips (the videos and their titles) and their Notes that aren't private, with any mentions shown as plain names. They can't see private Notes, replies, your other Boards, or who owns the Board. Links can be forwarded. Turning a link off stops it from working, but can't undo copies people made while it was on.
- Our service providers, listed below, only to run Clipnest for us.
- Authorities, when we're required by law to disclose information, for example in response to a valid court order.
Service providers and where information is processed
- Supabase stores Clipnest's database, handles sign-in (including Google sign-in), and sends account emails.
- Resend delivers the invitation emails Clipnest sends: it receives the invited address and the email's content.
- Vercel hosts the Clipnest website and runs its server. To show video thumbnails, Vercel fetches them from YouTube or Vimeo and serves them from theclipnest.com.
- Google provides the “Sign in with Google” button on our login and sign-up pages, and confirms who you are if you use it.
- YouTube and Vimeo, which play the videos (see below). To fill in a Clip's title and channel (and, for Vimeo, its thumbnail and shape), Clipnest's server asks the platform, sending only the video's address.
Clipnest is operated from Canada, and our providers store and process information in other countries, including the United States. Your information may therefore be subject to the laws of those countries, and be accessible to their courts, law enforcement and national security authorities.
YouTube
Clipnest uses YouTube API Services: videos play in YouTube's embedded player. When you open a Clip, in your workspace or on a shared page, your browser loads the player directly from YouTube. YouTube may then place or read cookies and similar technologies on your device, and collect information such as your IP address and how you use the player, as described in the Google Privacy Policy. Clipnest reads only what the player reports to the page, such as the current playback position, to place Notes and remember where you stopped. Clipnest doesn't sign in to or access your YouTube account. Use of YouTube through Clipnest is also subject to the YouTube Terms of Service.
Vimeo
Vimeo videos play in Vimeo's embedded player. When you open a Vimeo Clip, in your workspace or on a shared page, your browser loads the player directly from Vimeo. We load it with Vimeo's “do not track” setting, which Vimeo describes as stopping the player from tracking session data, including cookies. Vimeo still receives technical information such as your IP address and browser, as described in the Vimeo Privacy Policy. As with YouTube, Clipnest reads only what the player reports to the page, such as the playback position, and doesn't sign in to or access your Vimeo account.
Direct video links
You can add a Clip from a link that points straight at a video file on another website. Clipnest saves only the link. When you add it, and whenever you or anyone you share it with opens it, your browser loads the file directly from that website, as it would any video on the web. That website receives information such as your IP address and browser, can see that the request came from Clipnest, and may use its own cookies, under its own privacy policy. Clipnest's server never downloads, stores or serves the file. Collaborators on the Board, and anyone with a public link to it, can see the link.
Information from Google
- What we receive. Google's sign-in button is loaded from Google, which may use cookies to recognize your Google account, under the Google Privacy Policy. If you choose to sign in with it, Google shares your basic profile with Clipnest: your name, email address, profile picture and Google account ID. Clipnest doesn't ask for any other Google data, such as Gmail, Drive, Contacts or your YouTube account.
- How we use it. Your email address and name create your Clipnest account and sign you in; your name becomes your display name, and your email address is used to match invitations sent to you. Your profile picture and Google account ID are stored by Supabase with your sign-in record; Clipnest doesn't show or otherwise use them. Clipnest doesn't keep any token that would let it access your Google account.
- Who it's shared with. Your name and email address are visible to the people on Boards you share, as described above. Otherwise we share Google user data only with the service providers that run Clipnest, or when the law requires it. We don't sell it or use it for advertising.
- Keeping and deleting it. We keep it for as long as you have a Clipnest account. It is deleted with your account, except for the copies in backups, logs and Supabase's record of account events described in How long we keep information. You can also remove Clipnest's access in your Google Account settings; that stops Google sign-in for Clipnest but doesn't delete your Clipnest account.
Clipnest's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How long we keep information
- Your account and content are kept for as long as your account exists.
- Deleting things in Clipnest removes them from the database. Deleting a Clip also removes its Notes, replies and related notifications. Deleting a Board moves its Clips to your Unsorted Clips.
- Leaving a Board, or being removed from one, ends your access to it and deletes your notifications about it. What you added stays on the Board.
- Deleting your account deletes your profile, your Boards, the Clips you added to them and the Clips in your Unsorted Clips, your Notes and replies (and the replies to your Notes), your playback positions and your notifications, as well as the notifications other people received about your activity. Two things stay with other people, so their Boards keep working: Clips you added to someone else's Board stay on it and pass to that Board's owner, along with tags you created there; and Clips other people added to your Boards go back to them. Your name also stays where other people wrote it, for example in an @mention in their Note, and invitations sent to your email address stay in the inviting Board's records.
- Backups and logs. Deleted information can remain for a period in our providers' backups and service logs, which are kept for limited periods and then replaced or deleted. Supabase's record of account events isn't removed automatically when an account is deleted; it's kept for security and troubleshooting.
Your choices and rights
- In Clipnest you can view, edit and delete your Boards, Clips, Notes and replies, change your display name, turn public links off, and leave Boards. Board owners can remove people from their Boards.
- To delete your account, email digitalastronautstudios@gmail.com from the address you use for Clipnest. Clipnest doesn't yet have a delete-account button.
- You can also ask us for access to the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it (which may mean we can't keep providing Clipnest to you). Email digitalastronautstudios@gmail.com. We may need to confirm your identity first.
- If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, or the data protection authority where you live.
Security
Clipnest is served over HTTPS, and the database checks every request against your account, so each person can read or change only what they're allowed to. No online service can be perfectly secure, so please use a strong password, and tell us if you notice anything wrong.
Children
Clipnest is not intended for children under 13, or under a higher minimum age that applies where they live, and they shouldn't create an account. If you believe a child has created an account, contact us at digitalastronautstudios@gmail.com so we can delete it.
Changes to this policy
If we change this policy, we'll post the new version on this page and update the date at the top. The Terms of Service explain the rules for using Clipnest.
